Hexagon’s Asset Lifecycle Intelligence division (Hexagon) is seeking a Relocation Specialist-Human Resources.
As a Global Organization, Hexagon employees are often asked to work on projects outside of their own country, to maintain legal compliance, we are required to follow local legislation regarding the necessary work permits or visas per country. Additionally, employees regularly travel across the globe for internal and external business meetings.
We are looking for someone to join our EMIA HR team who will be responsible for operations around our global mobility. You will respond to questions from employees, managers and the HR teams related to all aspects of Global Mobility such as A1 applications, Limosa applications, visa applications and work permits, you will also coordinate any international secondments. In addition, the role relates to business travel, with our future intention being to implement an EMIA wide portal for business travel, that includes flights, hotels, train, etc.
You will support the responsible HR Business Partner on work permit applications for both current and new employees and you will support in the implementation of the new travel portal.
Key responsibilities:
Support and promote mobility policy across the EMIA region.- Keep up to date with relevant legislative changes.
- Coordinating visa application processes, renewals, and cancellations; including the invitation letters for business visa applications for employees globally travelling to EMIA.
- Serving as the primary point of contact during the visa/permit application process.
- Coordination of A1 applications and act in countries where possible.
- Support in relocation and global mobility services from start to finish.
- Maintain focus on cost management for each relocation case.
- Serving as the primary point of contact for assignees during their relocation.
- Manage the work permit application systems where possible.
- Monitor deadlines and ensure timely and full compliance.
- Providing knowledge and guidance to the HR team, Managers, and employees.
- Regularly liaising with HR teams, local payroll (where required) and third-party vendors.
- Maintaining a database for tracking of all work permits and visas for audit and compliance purposes.
- Track business travel to ensure compliance with legislation, for example, Brexit.
- Control of Expense, billing and invoicing for travel and relocation and request approvals.
- Monitor and maintain the business travel portal, raise non-compliance issues and come forward with suggestions for process improvements.
- Maintenance of employee files and ensure GDPR is adhered to.

- Implementing new work-instructions and processes.
- Fluency in English is essential, other languages have preference (verbal and in writing).
- 3 to 4 years proven experience managing and coordinating visa applications, experience in work permit applications is desirable.
- Strong knowledge of international assignment and global mobility processes.
- Ability to prioritize, meet deadlines and multi-task in a fast-paced business environment.
- System savvy (Good skills using MS Office, Word, Outlook, Teams, Excel) etc.
- Strong organization, communication and customer service skills.
- Preferably based in UK, near Swindon.
